Presenter Guide

Deadline for registration

As a speaker you must be registered for the conference. Please note that the deadline for in-person registration is 5 September

Info about you (for papers and panels presenters only)

Add a short bio (2-3 lines) about yourself in ConfTool. This will be used by the chairs for your introduction. You can do so by editing your submissions details. If you do not have a bio, they will use your name.

Deadline for uploading papers and presentations

The deadline for uploading your slides/presentation is 15 September.

Short and long papers

Presentation time

  • Full papers are set for 30 minutes, approx. 20 minutes for the presentation and 10 minutes for questions. 
  • Short papers are set for 15 minutes, approx. 10 minutes for the presentation and 5 minutes for the questions. 

Upload of presentation

  • Deadline:  15 September.
  • Filformat: PowerPoint or PDF in the default slide dimensions (Widescreen 16:9).
  • When making the presentation, please consult the guide for how to make your presentation accessible
  • Please note that there is no iPRES presentation template
  • File name format: “SubmissionNumber_SubmittorName_Title”
    (e.g. 27_Bo-Hansen_The-Future-Of-Digital-Preservation) 
    For long titles, please shorten to the first five words.
  • Upload to the Paper Google Drive (folder is being backed up and emptied regularly)

15 minutes before your session begins 

  • Speakers are asked to arrive in the assigned room 15 minutes before the full session begins. For online presenters, join the call and let the CoChair know that you are present by writing in the chat.
  • Introduce yourself to the (Co-)Chair assigned to your session, so they can make sure that all speakers are present. 
  • Confirm with the (Co-)Chair that your presentation has been successfully loaded and displayed as intended. Please consider bringing a backup copy of your presentation on a separate portable device to the venue..

During the session

Please note that all presentations are placed on the computer in the conference room. It will not be possible to use your own computer. 

If you have any questions or special needs in connection with the presentation, please communicate this with the info@ipres2026.dk or your session chair before the conference.

  • Speakers are introduced by the Chair.
  • You will be able to see and control your own slides during your presentation.
  • Make sure that your presentation remains within the scheduled time. The chair will help you by giving timing prompts during your presentation.
  • The Chair will start and moderate the Q&A after your presentation. 

Please note that sessions taking place in the rooms “The Little Mermaid”, “The Snow Queen” and “The Flying Trunk” will generally be recorded for the online delegates.

Concluding the Session

  • Please stay in the room until the last presentation in your session ends. There might still be questions from the (online) audience and the Chair will want to thank you.

Panels

Presentation time

Panel sessions are 45 minutes in total including discussion with delegates. Please allow time for Q&A

Upload of presentation(s)

If there are presentations involved in the panel session, these must be uploaded.

  • Deadline:  15 September

During the session

Please note that all presentations are placed on the computer in the conference room.

 If you have an online presenter, you will have to connect your PC to the screen and speaker in the room via the HDMI cable.

If you have any questions or special needs in connection with the presentation, please communicate this with the session chair before the conference.

  • The panel is introduced by the Chair.
  • Make sure that your panel remains within the scheduled time, and ask the chair for notification if needed
  • The  (Co-)Chair will assist in moderation of Q&A. 

Concluding the Session

The Chair will conclude the session.

Posters

Presentation times

Posters are presented in two different sessions:

  • A Minute Madness session
    In this session, you will be asked to provide a 1 minute pitch of your poster, before the dedicated poster session. Please see the guidelines for the one minute slide below.
  • Dedicated poster session
    Where attendees have the opportunity to come and see your poster and discuss your work with you. Please see the guidelines for the poster display both physical and online below.

Note: There are two  Minute Madness, where half of the posters are presented at Minute Madness 1 and  Poster session 1 , and the other half are presented at Minute Madness 2 and Poster session 2. It is expected that you are available at your poster during the poster session following your Minute Madness. You are welcome to also be present during the other poster session and throughout the conference. 

Upload of Minute Madness presentation

  • Deadline:  15 September.
  • Filformat: PowerPoint or PDF in the default slide dimensions (Widescreen 16:9).
  • When making the presentation, please consult the guide for how to make your presentation accessible
  • Only one slide is allowed, and there cannot be any audio, video or animations on the slide. 
  • Please note that there is no iPRES presentation template
  • File name format: “SubmissionNumber_SubmittorName_Title”
    (e.g. 27_Bo-Hansen_The-Future-Of-Digital-Preservation)  

For long titles, please shorten to the first five words.

  • Upload to  the Minute Madness Google Drive
  • Online presenters are asked to submit a one-minute pre-recorded video for the conference’s Minute Madness session, rather than giving a live 60-second presentation. 
    • Please upload your video to  the Minute Madness Google Drive
    • Please use the following name convention: SubmitterName_PosterTitle
    • Please upload by the 6th of September, midnight anywhere on earth. 

Upload of Poster

  • Deadline:  15 September.
  • Filformat: PDF 
  • When making the poster, please consult the presentation accessibility guidelines for inspiration.
  • Please note that there is no iPRES poster template.
  • File name format: “SubmissionNumber_SubmittorName_Title”

Poster display

  • Onsite poster presentation:
    • Each poster board measures 0.95 meter wide × 2.15 meters high. You are welcome to use the full display area or present a smaller poster within these dimensions. 
    • You can attach the posters to the walls with cellotape or stickytack. There will be some available at the venue, but consider bringing your own.
  • Online poster presentation:
    • For online presenters, you are not expected to provide a printed poster. However, if you wish to find a colleague to hang your poster for you, or can organise something else, then we are happy to provide space for this. Please let us know at info@ipres2026.dk.  
  • Posters will remain on display throughout the conference, allowing delegates to view them during breaks and networking opportunities. 
  • We also plan to create an online gallery of posters using GitHub Pages, allowing delegates to continue exploring the excellent work presented at iPRES 2026 throughout and after the conference. If you have any issues with your poster being displayed this way, please let us know at info@ipres2026.dk

Lightning Talks

Presentation time

Lightning Talks are 5 minutes long, and there is no room for questions. 

Upload of presentations

  • Deadline:  15 September.
  • Filformat: PowerPoint or PDF in the default slide dimensions (Widescreen 16:9).
  • When making the presentation, please consult the guide for how to make your presentation accessible
  • File name format: “SubmissionNumber_SubmittorName_Title”
    (e.g. 27_Bo-Hansen_The-Future-Of-Digital-Preservation)
    For long titles, please shorten to the first five words.
  • Upload to the Lightning Talk Google Drive.
  • Online presenters are asked to send a 5-minute recording for your presentation, as It is not possible to present Lightning Talks live.
    • Upload the recording to the Online Lightning Talk Google Drive 
    • Use the file name format: “SubmissionNumber_SubmittorName_Title”
      (e.g. 27_Bo-Hansen_The-Future-Of-Digital-Preservation)

Birds of a Feather

Presentation time 

Birds of a Feather are 45 minutes long. 

During the presentation

  • There is no presenter laptop in the room. If you have a presentation, make sure to bring your own laptop. It will be possible to share the presentation to the screen in the room via the HDMI cable. Please make sure to bring an adapter if you do not have an HDMI slot.
  • Make sure to stick to your allotted time. There are two Birds of a Feather happening back-to-back in each session.
