AI Usage Guidelines

In recognition of the potential benefits, and increasing use of AI tools, iPRES 2026 will follow the example of iPRES 2025 and permit AI tools usage in the same way, i.e. under the conditions outlined in these guidelines. These guidelines are designed to help maintain the integrity and quality of iPRES publications while allowing the beneficial use of AI tools. They are informed by guidelines from international organisations and publishers regarding the use of AI.

For Authors

Typical uses of AI tools may include:

  • Content generation, for example:
    • Data analysis and help with identifying patterns or generating insights
    • Image / figure generation or enhancement
  •  Editing and grammar enhancement, for example:
    • Correcting grammatical errors or spelling mistakes
    • Improving readability
    • Translation of your native language to the conference language (English)

AI tools can streamline the writing process, allowing you to focus more on the content and quality of your work. They also have the potential to ‘level the playing field’ for non-native speakers contributing to a more diverse authorship.

In all cases, when AI tools are used in the creation of your conference paper / poster, etc. the following guidelines apply.

  1. Disclosure – Any use of AI tools must be fully disclosed in the paper or description, whichever applies to your submission category. It is considered good practice to identify the AI system(s) that was (were) used.
  2. Authorship – AI tools can not be listed as authors.
  3. Ethical use – Ensure that the use of AI does not violate any ethical guidelines, such as those related to plagiarism or data fabrication.
  4. Accuracy and verification – Authors are responsible for verifying the accuracy and validity of the AI-generated content. This includes checking for errors and ensuring that the AI’s contributions are scientifically sound.
  5. Limitations – Be aware of the limitations of AI tools and avoid over-reliance on them. The information may be inaccurate, out of date, and may contain subjective biases. AI should assist in the research and writing process, not replace the critical thinking and expertise of the authors.
  6. Use Caution with Chatbots – Chatbots retain the information supplied to them and may reuse this information in future responses. If your information is later given to another user, they may inadvertently plagiarize your work. If your information is sensitive or confidential it should not be supplied to a Chatbot.
